WFGA Data Protection Privacy Notice
Who we are
The WFGA is an educational garden charity registered with the Charities Commission under Charity Number 212527. We have a long history and have been operating since 1899. Our main aim is to Advance Horticulture in the UK through a number of different platforms for training and horticultural skills development. In 1993, the WFGA identified a need for a practical training scheme for gardeners who want to change career path or retrain. This led to the development of the WRAGs Scheme (Work and Retrain in the Garden). This year we mark our 25th Anniversary of the Scheme and are proud to have facilitated training for over 1000 gardeners who have gone on to develop successful horticulture careers from head gardeners to nursery owners.
At the WFGA, we are committed to maintaining the trust and confidence of our membership. We would like you to know that your information is important to us and is only used for activities within the scope of the Charity. To comply with the upcoming change to the data protection legislation, we are now required to notify you of our Privacy Notice. This includes information on when and why we collect your personal data, how we use it and how we keep it secure.
Information we collect
The information we hold on you has been provided with your consent in order for us to deliver our products and services to you.
The WFGA collects and processes your Personal for the following purposes:
- Membership Admininistration
- Processing of orders for goods and services, eg workshops and events
- Communication about membership activities
How we use the information
As part of the regular communication with our membership and our wider network, we collect personal information. We use that information to contact you with news regarding specific events, workshops etc, as well as any changes to terms and conditions and to check our records are correct. We do not rent or trade email lists with other organisations and businesses. We promise to keep your data safe and private.
We use our own database as well as a third-party provider, MailChimp, to deliver our news and events updates. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our communications.

You can unsubscribe to general mailings at any time by clicking the unsubscribe link at the bottom of any of our emails.
You have the right to object to any of this at any time. If you wish to do this, please use the contact details at the end of this policy. Please bear in mind that if you object this may affect our ability to carry out tasks above that are for your benefit.
We have reviewed our processes to ensure that only those people who need your contact information, will have access to it. We understand the requirements of confidentiality, integrity and availability for the information we possess.
Data Protection law recognises that certain categories of personal information are more sensitive such as health information, race, religious beliefs and political opinions. We do not usually collect this type of information about our members.
How long we keep your Information for
We keep your personal information for as long as required to operate in accordance with legal requirements and tax and accounting rules. Where your information is no longer required, we will ensure it is disposed of in a secure manner.

WRAGs Applications and Event Bookings
If you are applying for a WRAGs scheme placement, booking a place on a workshop or an event, your name and email will be stored and passed to the relevant hosts for the purposes of that event. We do not share your personal details with any other company.
The WFGA does not retain credit/debit card or payment data on file. Credit/debit card transactions are handled by a third-party financial institution, which receives the credit/debit card number and other personal identifying information only to verify the credit/debit card information and process transactions.
We may share contact details with our internal WFGA representatives, Garden owners and workshop tutors. We will let them know about your booking (if relevant) and share your name and contact details with them.
Legitimate business interests
In certain situations we collect and process your personal data for purposes that are in our legitimate business interests. For instance if you have opted in to receive email updates from us we consider this give us a legitimate business interest to send you marketing emails about events and to send regular updates about the activities we are arranging. We will provide you with an option to unsubscribe in every email that we subsequently send you.

We keep our Privacy Notice under regular review. However we reserve our right to make any changes as necessary and will ensure that the latest version is always available on our website.
